Registering with ELSTER, explained in English

Every German company eventually needs access to Mein ELSTER — if only to read tax assessment notices or answer a one-off request from the tax office. The registration process is free but German-only, involves a postal activation code and takes about one to two weeks end to end. Here is the walkthrough in English.

The registration, step by step

  • Go to elster.de and choose "Benutzerkonto erstellen" (create user account).
  • Choose the certificate file (Zertifikatsdatei) as your login method — it is the free default and sufficient for companies.
  • Register for your organization ("Für eine Organisation") using the company's tax number (Steuernummer); this produces an organization certificate that acts for the company.
  • ELSTER sends two codes: one by email immediately, one by post to the company's registered address — the letter is the slow part (typically 3–10 days, longer abroad).
  • Enter both codes, download the certificate file (.pfx) and set a password. Keep the file safe: certificate plus password is the company's login.

Which fields trip up non-German speakers

The form asks for the Steuernummer in the format of your federal state — take it from any letter of your tax office, not from the VAT ID. "Finanzamt" is the local tax office that administers your company; the form derives it from the tax number.

If the company is brand new and has no tax number yet, that number comes from the tax office's registration questionnaire (steuerliche Erfassung) — complete that first.

What you will actually use the account for

Reading tax assessment notices (Bescheide), replying to tax-office requests, and the occasional form that exists only in the portal. The recurring filings — VAT advance returns, the annual returns, the E-Bilanz — you can prepare and transmit from our software in English instead, over the same official interface.

Think of the ELSTER account as the company's letterbox at the tax office, and the software as the machine that writes and delivers the letters.

Common stumbling blocks

  • The activation letter goes to the address the tax office has on file — if the company moved, update the address first or the letter strays.
  • Certificates expire after three years; Mein ELSTER prompts a renewal at login, which takes minutes if you still hold the old file.
  • One organization certificate can be shared by the people running the company, but treat it like a bank credential — it can file in the company's name.
  • The email code expires quickly; the postal code does not. If the process stalls halfway, simply restart the registration.

Should I register myself or the company?

For company filings, register the organization with the company's tax number to obtain an organization certificate. A personal certificate is separate and covers your private taxes.

Is registration required to use jahresabschluss.io?

No. Supported returns transmit through our certified channel without your certificate. The account remains useful for notices and correspondence.

What if I lose the certificate file or password?

You can go through a renewal process at Mein ELSTER, which again involves postal codes. Store the .pfx file and password like any other company credential.
